RESERVATIONS: TERMS AND PROCEDURE

Queries/Special Requirements
If you wish to clarify anything and/or if you have any disabilities or any dietary or other special requirements including a particular requirement for a room with a bathtub please raise the matter with us prior to booking. Otherwise we may be unable to meet your exact requirements.
Reservations
You may make reservations via the on line facility on this web site or by email or by telephone. If made by telephone (unless there is insufficient time and we agree otherwise) you must as soon as reasonably practical send confirmation by mail, facsimile or email.
Your booking or confirmation should contain the following details:
arrival date
number of nights
number of guests
type of room reserved
price of room
your name
home address
credit card billing address if different
express authority to charge the deposit to any credit card details of which you have supplied
arrival time
means of travel
contact telephone number
We will endeavour to acknowledge all such bookings within 24 hours of receipt. Please note that all bookings remain incomplete until our acknowledgement is sent.
Deposit
Upon booking we require a non-returnable deposit equal to the cost of the first night’s accommodation. This may be paid by debit or credit card (except Amex and Diners).
In the case of card payments we require the following details:
1. Express authority of the cardholder BEARING THE CARDHOLDER’S SIGNATURE if possible to charge the deposit
2. The cardholder’s name as it appears on the card
3. The card number
4. The commencement and expiry dates
5. The security code on the signature strip and
6. The cardholder's billing address
Cancellations, No Shows and Insurance
Once you have booked your stay, our agreement is a binding legal contract and any deposit is non-refundable. If you need to cancel please contact us immediately. For cancellations made more than fourteen clear days before your arrival date you will not be liable for the balance. For cancellations made after this time or by failing to take up the booking without cancelling you will be liable for two thirds of the cost of any rooms that we are unable to re let. For this reason you may wish to take out cancellation insurance which is inexpensive and can be obtained from any good broker. We shall be pleased to supply details of a suitable scheme.
Non-availability
We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation but if this was not possible, or unacceptable to you on reasonable grounds, then we would refund all monies paid to us. Our liability would not extend beyond this refund.
Prices
The stated prices include accommodation plus full English or continental breakfast, service and VAT, and unless otherwise stated are based on two people sharing a room.
Payment
If you have pre-booked and paid a deposit the balance of your account is due on departure; otherwise it is payable in full on arrival. We accept the following forms of payment in settlement of your account: cash, sterling cheque with bankers card, sterling travellers cheque, debit cards and credit cards (save Amex and Diners).
Children and Animals
We are unable to accommodate children (including babies) under eight years.
Pets and animals incuding guide dogs are not permitted
Arrival
Your accommodation is available to you from 4.00 pm on the day of arrival. Please let us know if you require access to your room before this time and although we cannot guarantee to do so we shall try to help.
It is most helpful if you can let us know your approximate arrival time and means of travel. The latest time for arrival is 6:30 p.m. except by arrangement.
PLEASE NOTE THAT WE CANNOT ACCEPT ANY ARRIVALS AFTER 6.30 ON SATURDAYS AND 8.30 PM ON OTHER DAYS.
Departure
Please be ready to leave your accommodation and return your key to reception by 11.00 am on the day of departure. If you do not do so you will be deemed to have occupied the room for an additional night and will be charged accordingly.
Damages and Breakages
Please take care with our accommodation. You are responsible and liable for any damage or breakages which are caused to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but if you do not report them or if the damage or breakage is significant we may charge the full cost of reinstatement or replacement together with a reasonable administration fee and for any consequential loss we may sustain.
Liability
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
Smoking
For the benefit of the majority of our guests we operate a strict non smoking policy throughout the house. If you smoke while in your room or in any other interior part of the premises (which for the avoidance of doubt includes while leaning out of a window or standing in a doorway) you may be asked to leave immediately and you will be liable for:
1. the cost of your accommodation to date
2. any cleaning costs associated with removing the smell of smoke from the room or affected area
3. the cost of booking the room for the number of nights for which it is unavailable to let in order to carry out such cleaning or for the remainder of your stay if longer and
4. any consequential loss we may sustain
