BOOKING TERMS AND PROCEDURE
You may contact us by telephone or email.
If you wish to clarify anything and/or if you have any disabilities or any dietary or other special requirements including a particular requirement for a room with a bathtub please raise the matter with us prior to booking. Otherwise we may be unable to meet your exact requirements.
Reservations, Guarantee and Pre-Authorisations
You may make reservations in person, by telephone, by email or via the online facility on this web site.
Upon booking we require the following details:
Please note that within the room category you have booked we cannot guarantee which room will be allocated but will endeavour to comply with any requests.
We will endeavour to acknowledge all bookings within 24 hours of receipt. All bookings remain incomplete until our acknowledgement is sent.
No deposit is payable. On booking you must guarantee the booking with a payment card.
We require the following card details:
1. The cardholder’s name as it appears on the card
2. The card number.
3. The commencement and expiry dates
4. The security code on the signature strip and
5. The cardholder's billing address
If you book by email we recommend that in order to keep them secure you should telephone us with your card details and under no circumstances send them by email.
If you have not supplied details of a payment card at the time off booking you will present a payment card upon registering.
Prior to arrival we may pre-authorise the payment card for the total cost of your stay and on registration for a reasonable estimate of extras.
The stated prices include accommodation, service and VAT.
The total cost of the booking is payable on arrival. We accept only cash and payment cards in settlement of your account.
If you have booked on a non-refundable or advance purchase basis we may charge the total cost of the booking at any time and this is not refundable.
Cancellations, No Shows and Insurance
Once you have booked your stay and we have acknowledged the booking our agreement is a binding legal contract. If you need to cancel please contact us immediately. With the exception of bookings made on a non-refundable or advance purchase basis: for cancellations or modifications made more than seven clear days before your arrival date we will make no charge; for cancellations and modifications made after this time but before the day of arrival you will be liable for the cost of the first night; for cancellations and modifications made on the day of arrival or by failing to take up the booking without cancelling or modifying you will be liable for the total cost of the booking. For this reason you may wish to take out cancellation insurance which is inexpensive and can be obtained from any good broker. We shall be pleased to supply details of a suitable scheme.
We would only cancel your booking if your accommodation was unavailable for substantial reasons or for reasons beyond our control. We would attempt to offer you alternative accommodation but if this was not possible, or unacceptable to you on reasonable grounds, then we would refund all monies paid to us. Our liability would not extend beyond this refund.
We are unable to accommodate children (including babies) under eight years.
The maximum number of occupants including children over 8 permitted in any room is 2.
Pets and animals other than assistance dogs are not permitted. Any such pets or other animals brought onto the premises will incur a charge of £200.
Please take care with your keys. Damaged keys will be charged at replacement cost. In the case of lost or unreturned keys we may charge the cost of replacing the lock.
WiFi and Internet
You will not use the facility for any illegal or unlawful purpose and will indemnify us against any costs or penalties incurred as a result of doing so.
You may check-in after 11.00am. Your accommodation is available to you from 4.00 pm on the day of arrival. If you register before this time you are welcome to store your luggage with us and subject to availability to park in our car park. Please let us know if you require access to your room before this time and although we cannot guarantee to do so we shall try to help. It is most helpful if you can let us know your approximate arrival time and means of travel. Unless we expressly agree otherwise the latest time for arrival is 7:00 pm. PLEASE NOTE THAT WE CANNOT ACCEPT ANY ARRIVALS AFTER 7.00 PM ON SATURDAYS AND 8.30 PM ON OTHER DAYS.
Please vacate you room and return your key to reception by 11.00 am on the day of departure. If you do not do so you will be deemed to have occupied the room for an additional night and we may charge accordingly.
Damages and Breakages
Please take care with our accommodation. You are responsible and liable for all breakages and any damage caused to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but if you do not report them or if the damage or breakage is significant we may charge the full cost of reinstatement or replacement together with a reasonable administration fee and for any consequential loss we may sustain.
For the benefit of the majority of our guests smoking including the smoking of e-cigarettes is not permitted on the premises either inside or outside the building other than in a marked designated area in the rear garden. If you do smoke anywhere other than in a designated area we may require you to leave immediately in which case you will remain liable for the full cost of your stay and will incur a charge of £200 in respect of cleaning costs.
You expressly authorise us to charge extras and any sums for which you may be liable under these terms and conditions to your payment card.
We do not accept any liability for any damage, loss or injury to you or any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
“we” means the proprietors of The Hazelwood and “us” shall be construed accordingly
“you” means in respect of any room a person intending to make, making or who has made a booking and/or a registered guest and/or if appropriate any occupant of a room for which you register
“payment card” means a valid credit or debit card (other than Diners) in your name expiring after the date of departure
“extras” means the cost of any goods or services which we may supply during the course of or in connection with your stay
