BOOKING TERMS AND PROCEDURE
You may contact us by telephone or email.
If you wish to clarify anything and/or if you have any disabilities or any dietary or other special requirements including a particular requirement for a room with a bathtub please raise the matter with us prior to booking. Otherwise we may be unable to meet your exact requirements.
You may make reservations via the on line facility on this web site or by email or by telephone.
Upon booking we require the following details:
No deposit is payable on booking and bookings must be secured with a Payment Card which we may pre-authorise for the total cost of your stay plus an amount for any extras which we may reasonably anticipate we may supply.
If you have booked on a non-refundable basis we may charge the total cost of the booking immediately and this is not refundable.
We require the following card details:
1.The cardholder’s name as it appears on the card
2. The card number.
3. The commencement and expiry dates
4. The security code on the signature strip and
5.The cardholder's billing address
If you book by email we recommend that in order to keep them secure you should telephone us with your card details and under no circumstances send them by email.
We will endeavour to acknowledge all such bookings within 24 hours of receipt. All bookings remain incomplete until our acknowledgement is sent. Please note that within the room category you have booked we cannot guarantee which room will be allocated.
Cancellations, No Shows and Insurance
Once you have booked your stay and we have confirmed the booking our agreement is a binding legal contract. If you need to cancel please contact us immediately. Unless you have booked on a non-refundable basis you must give notice of cancellation or modification of the booking before the date 14 days before the date of arrival: otherwise we may charge the cost of the first night. In the case of a cancellation or modification on the date of arrival or by failing to take up the booking without cancelling you will be liable for the total cost of the booking. For this reason you may wish to take out cancellation insurance which is inexpensive and can be obtained from any good broker. We shall be pleased to supply details of a suitable scheme.
We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation but if this was not possible, or unacceptable to you on reasonable grounds, then we would refund all monies paid to us. Our liability would not extend beyond this refund.
The stated prices include accommodation, service and VAT.
The balance of your account is payable in full on arrival. We accept the following forms of payment in settlement of your account: cash, debit cards and credit cards (save Diners).If you have booked on a non-refundable basis on arrival you will be required to produce a Payment Card which we may pre-authorise for the cost of any extras which we may reasonably anticipate we may supply.
Children and Animals
We are unable to accommodate children (including babies) under eight years. Pets and animals are not permitted.
You may check-in after 11.00am.Your accommodation is available to you from 4.00 pm on the day of arrival. If you register before this time you are welcome to store your luggage with us and subject to availability to park in our car park. Please let us know if you require access to your room before this time and although we cannot guarantee to do so we shall try to help. It is most helpful if you can let us know your approximate arrival time and means of travel. The latest time for arrival is 6:30 p.m. except by arrangement. PLEASE NOTE THAT WE CANNOT ACCEPT ANY ARRIVALS AFTER 6.30 ON SATURDAYS AND 8.30 PM ON OTHER DAYS.
Please be ready to leave your accommodation, return your key to reception and settle your account by 11.00 am on the day of departure. If you do not do so you will be deemed to have occupied the room for an additional night and will be charged accordingly. Damages and Breakages Please take care with our accommodation. You are responsible and liable for any damage or breakages which are caused to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but if you do not report them or if the damage or breakage is significant we may charge the full cost of reinstatement or replacement together with a reasonable administration fee and for any consequential loss we may sustain.
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
For the benefit of the majority of our guests we operate a strict non smoking policy throughout the house. If you smoke while in your room or in any other interior part of the premises (which for the avoidance of doubt includes while leaning out of a window or standing in a doorway) you may be asked to leave immediately and you will be liable for:
1. the cost of your accommodation to date
2. any cleaning costs associated with removing the smell of smoke from the room or affected area
3. the cost of booking the room for the remainder of your stay or if longer for the number of nights for which it is unavailable to let in order to carry out such cleaning and
4. any consequential loss we may sustain
“We” means the proprietors of The Hazelwood Guest House and “us” shall be construed accordingly
“You” means the registered guest and/or if appropriate any occupant of a room for which you register
